Spooru Manual · updated October 2026

Everything you need to run your club

From registering the club on day one to next Tuesday's training session: this guide covers the initial setup and the everyday use of Spooru for the club, coaches and families, written to be read from start to finish or looked up on the fly.

Spooru is free for clubs: seasons, teams, players, calendar, call-ups, messaging, tournaments, training plans, line-ups and a payment gateway for fees — all in one place, in Spanish, Catalan, English or German.

How to find your way around

  • The sidebar groups topics in the order you usually need them: set things up first, then the day to day.
  • The search box above finds any word instantly — screen names, buttons, concepts ("call-up", "SEPA", "line-up"...). Press / at any time to jump to it.
  • The important steps come with an illustration of the screen, using the same labels and buttons you will see on spooru.com.
  • Are you a coach or a parent? Start with Who can do what: it tells you what each role sees and can do.
ℹ️ Before you start

All you need is an email address. No credit card is asked for, either for the club or for families — card payment is optional and only comes into play if the club decides to collect fees online.

What's new

The latest additions

  • Creator plan for clubs — your own exercises, AI illustrations and your club's crest on PDFs. See the plan.
  • One-day tournament from the calendar — the coach or staff can create one for their team, with the rivals and the time of each match. See how.
  • One-day tournament with your team split — own teams (U12 1, U12 2…) with their own call-ups; each plays the rival teams with the same number, on its own schedule. See how.
  • A single notice per tournament and day — each family gets one notice with all the day's matches and answers only once. See the notices.
  • Staff manage their team — they create, change or cancel one-off matches and trainings, take attendance and record goals, cards and baskets; families receive the changes automatically. Who can do what.
  • Line-ups — place players on the pitch or court, in a formation or freely, and draw plays. See line-ups.
  • Fuller training plans — session templates, ready-made season plans and automatic generation based on age and calendar. See the plans.
  • Exercise library — unlocked according to the club's real use. See how it unlocks.
  • Players with their own access — from age 16 the player can have their own login. See players.
  • PDF on iPhone and iPad too — printing or saving as PDF works the same on a phone. See reports.
  • Automatic deletion of old data, with advance notice. See data protection.
  • Manual in four languages, plus public pages with methodology guides and sample exercises.

  1. Go to spooru.com and press Sign up at the top right.
  2. Enter your email address and a password.
  3. Press Sign up. That's it, you are in — the same account can later be used to sign in as a club administrator, as a coach at another club, or as a family at a third one: the role depends on which club you are linked to, not on the account.

Right after you confirm your account, Spooru takes you straight to the club registration form.

  1. Club name — the only required field.
  2. City (optional) — helps tell apart clubs with similar names.
  3. Country — the two-letter code (ES, DE, etc.).
  4. Accept the Terms and Conditions and the Data Processing Agreement — mandatory, because it governs how Spooru handles your players' data (many of them minors).

👑 Who is in charge

Whoever creates the club becomes club_admin — the role with the most permissions: it invites staff, sets up payments, manages teams and can delete accounts or the club itself. You can add more than one administrator later.

⚠️ Duplicate name

If a club with a very similar name already exists, Spooru warns you — try adding the city to the name. If the club already existed and is yours, write to info@spooru.com.

The club dashboard

Your base of operations

After creating the club you land on the Overview. At the top there are five fixed tabs and, on the right, the selector for the active season — almost everything you see on screen is filtered by that season.

  • Overview — the club's headline figures, quick links and the status of the exercise library.
  • Manage — the drop-down menu with all the setup: The Club, Seasons, Teams, Players, Coaches, Facilities, Rival clubs, Tournaments, Billing, Audit log and Reports. On mobile it appears as a separate menu instead of a sidebar.
  • Calendar — all the club's trainings and matches, for every team at once.
  • Standings — the table of each tournament in progress.
  • Messages — with a red badge when something is unread.

A coach or delegate sees a shorter version of the dashboard: only the teams they run.

Who can do what

Three roles, three scopes

Each person sees and does only what is theirs. The club (administrators) sets everything up and sees every team; the coach or staff run the day to day of the teams they look after; families and players view and respond. The same email can have a different role at each club.

From age 16, a player can have their own login. They see their calendar, their call-ups and their team's standings; the billing contact remains the family.

Seasons

Manage → Seasons

A season is the playing period (for example, 2026/2027). Everything you create afterwards — teams, tournaments, calendar — hangs from a specific season, and the selector in the top bar filters the whole view by the one you have active.

  1. When you create the club, Spooru offers to create the first season automatically.
  2. To open a new one later: Manage → Seasons → New season, with its start and end dates.
  3. To bring your players into the new season, use Carry over: you pick which season they come from and review each team — untick anyone who isn't continuing and, if a player's age no longer fits the category, Spooru warns you with the category they would belong in.
  4. New signings are added afterwards, from each team once it exists.
✅ Tip

Don't delete an old season even if it has finished — all the history of matches, call-ups and standings for those months stays there. Spooru deletes a season's data by itself two years after it ends, with advance notice (see Data protection).

Teams and categories

Manage → Teams → New team

  1. Team name — free text; if a club has two teams in the same category, something like "U12 A" and "U12 B" tells them apart nicely.
  2. Sport — football or basketball.
  3. Category — U8, U10, U12, U14... or a custom one if your federation uses a different naming.

Football

Create team

Each team is born with its three messaging channels (notices, team chat and staff chat) and with its own calendar, squad and standings — you don't need to configure anything else to start using it.

The team page brings together its calendar and squad, and gives direct access to Messages, Training plans, Statistics and Line-ups.

Players

Manage → Players

  • Registration — first name, surname, date of birth and, optionally, a photo (JPG, PNG or WEBP, max. 5 MB). Spooru automatically checks that it is an appropriate photo.
  • Team link — a player can belong to more than one team (e.g. trains with two categories). Each team shows shirt number and position.
  • Medical check — only the date until which it is valid is recorded; the family sees whether it is up to date.
  • Linking families — from the player's record, invite the father, mother or guardian so they can see the player, receive call-ups and, if the club charges fees, pay them. A family with several children sees them all in the same dashboard.
  • The player's own access — from age 16 you can invite the player themself (choose “The player themself”): they will see their calendar and call-ups, and the billing contact remains the family.
⚠️ Sensitive data

Do not enter diagnoses, clinical histories or any other medical information in the player's record — only what is strictly necessary to manage the team. The Terms and child data protection require this.

Facilities

Manage → Facilities → New facility

Your own pitches, courts or halls — the ones you use to train and to play at home. When you create a home match or training, you choose the venue here; if the club only has one facility, Spooru suggests it for you.

  1. Name (e.g. "Municipal Pitch") and, if you like, email, phone and website.
  2. Search on the map — type the name or address; the results come from OpenStreetMap. Pick one and address, city and country fill in by themselves.
  3. Adjust the marker by dragging it on the map (or clicking) to set the exact location of the pitch, not just the building's front door.

Families see the location on a map inside their child's next event.

Coaches and staff

Manage → Coaches → Invite

  1. Enter the person's email and choose their role (coach, delegate…) and which team they are assigned to.
  2. Spooru emails them an invitation link; once they accept it, they go straight to their team dashboard.
  3. Staff see and manage their teams; only a club_admin sees and manages the whole club. What each can do is in Who can do what.

From Coaches you see all the club's staff and which teams each person is assigned to.

✅ One coach and one delegate per team

It is worth assigning each team at least one coach and one delegate, different people with a verified email: it is one of the conditions to unlock the exercise library.

Rival clubs

Manage → Rival clubs

This is your club's own directory — they are not Spooru accounts, just a record with a name and, if you know it, address, city, website and contact. They serve two purposes:

  • Marking who you are playing when you create a match or a tournament.
  • When the match is away, the rival's address appears automatically on the call-up — no need to type it every time.
ℹ️ Only the administrator creates them

Coaches can choose among the rival clubs already saved when creating a one-day tournament, but only an administrator can add or edit rival clubs. If one is missing, ask the club.

Notices and reminders

Manage → The Club → Notifications

Spooru notifies families and staff at the right moment, by phone notification and, if that doesn't arrive, by email. You decide three timings:

  • Days ahead a match is announced (1 by default).
  • Hours ahead of the training reminder (2 by default).
  • Minutes for the take-attendance reminder to staff: positive, after the training or the call-up time starts; negative, before (10 by default).

Which notices exist

  • Match and training reminder, with the time, the place and the “I'll be there / Can't make it” buttons.
  • Follow-up to families who haven't yet answered for a match, with a first notice within the previous 48 hours and a second within the previous 24 hours; and a summary to staff of who is missing.
  • Take-attendance reminder to the team's staff.
  • New event, change or cancellation made by staff: if the date, time or facility is changed, or it is cancelled, families are notified automatically.
  • Messages from the team's messaging.
✅ One-day tournaments: a single notice

When a player has several matches in the same tournament on the same day, they get a single notice with all the matches and their times — the reminder, the follow-up, new matches and time changes. And they answer only once for the whole day.

ℹ️ Everyone turns on their own notifications

To receive the notice on their phone, each person must press the bell in the header and enable notifications. If it doesn't arrive, Spooru sends an email.

Audit log

Manage → Audit log

The record of additions, edits and removals in club management — players, staff, calendar, billing, teams… — with who did it and when. Only a club_admin sees it.

ℹ️ What is not recorded here

Messaging and call-ups do not appear in the audit log — they have their own history inside each conversation or event.

Reports

Manage → Reports

Documents ready to print or save as PDF — no separate templates to maintain. Choose a team and the report is generated with its current data:

  • Player list — shirt number, name, date of birth, position, whether the medical check is recorded and the family's contact.
  • Team calendar — all the matches and trainings of the current season, with the result of those already played.

✅ Other printable documents

The call-up for a specific match is printed from its own page, an individual receipt from a SEPA batch or from the families' portal, and training sessions and line-ups from their own screen.

Printing or saving as PDF also works from a phone or tablet: the PDF is generated on the device itself and you can save or share it from the share menu.

Data protection and automatic deletion

How Spooru handles children's data

Spooru handles data about minors and payments, so it limits who sees what and keeps nothing longer than necessary.

  • Role-based access — each person sees only their own teams or children (see Who can do what), and the audit log records changes.
  • Season data — deleted automatically two years after the season ends: teams, calendar, call-ups, statistics and messages. Players left without any team are removed too.
  • Advance notice — the club administrator receives a notice before deletion, so they can print or save the reports they need.
  • Payment data — a family's IBAN and SEPA mandate reference are scrubbed 14 months after the last collection; receipts, batches, orders and card payments are deleted after 8 years, counted from the end of the calendar year, which is the retention period for accounting records.
  • Player photos — checked automatically on upload to make sure they are appropriate.
  • Cookies — the “Cookie preferences” link in the footer lets you review advertising consent.
✅ What to do

Before a season is deleted, print or save as PDF the reports you want to keep. The full legal texts are in the footer: Privacy, Cookies, Terms and Data processing agreement.

Calendar

Calendar, or inside each team

It brings together trainings, matches and tournament events. Creating one takes: date and time, type (training / match), facility if it is at home, or the rival club if it is away — and, if you know it, the call-up time before the event.

  • One-off events — the administrator and the team's coach create from the team (+ Add event) a friendly, a special training or a last-minute change, and can edit or delete them afterwards.
  • One-day tournament — the + One-day tournament button appears when you pick a day in the calendar; see One-day tournament from the calendar.

Spooru automatically notifies families before every training and match, and if staff change an event's date, time or facility, or cancel it, it notifies them too (see Notices and reminders). A coach only sees and creates events for their own teams.

Call-ups and attendance

Inside each calendar event

  1. When a match or training is created, all the team's active players are called up automatically.
  2. In Call-up staff remove anyone who isn't going (and can add them back). Anyone added again is notified.
  3. Each family receives the reminder and answers I'll be there or Can't make it, in the app or straight from the phone notification. Staff see who has confirmed, who can't and who is missing.
  4. The call-up is printed as a PDF from the same event, ready to share outside the app. For an away match, it carries the rival's address.
  5. After the event, in Attendance, you mark the absence of anyone who didn't show up, even if they were called up. Spooru reminds staff to take attendance.

ℹ️ Answers count towards the statistics

Recorded attendance feeds the team statistics and, together with trainings that have attendance, the real use that unlocks the exercise library.

Messaging

Messages, or inside each team

Each team has three separate channels from the day it is created, plus private messages:

  • Notices — read-only for families; only staff write.
  • Team chat — open conversation between staff and families.
  • Staff chat — private between coaches and delegates, invisible to families.
  • Private messages — a family can write privately to a coach of their child's team, and the coach can reply.

A red badge marks unread messages, both on the "Messages" tab and in each team's menu, and every message also arrives as a notification.

Training plans

Inside each team → Training plans

A plan describes the session of a specific training by phases (activation, main part, final game…), with its duration, a description of each phase and the exercises from the library. It is different from the calendar training, which only sets the day and time. There are four ways to create one:

  • From scratch — add phases and choose exercises from the library; with the Creator plan you can also generate the illustration for each phase.
  • From a session template — ready-made templates by Spooru for each sport, which you copy and customise.
  • By applying a season plan — complete ready-made plans, with blocks and sessions. You choose a start day and Spooru creates one session of your own for each session in the plan, placed on your calendar's real trainings and fitted to their length. If the team trains fewer times than the plan asks for, the leftover sessions move to the following trainings; if it trains more, those trainings are left free.
  • By generating it automatically — you choose the team's level and a start date, and optionally the topics you want to prioritise. Spooru creates one session for each training in the calendar, with library exercises fitted to the team's age and each training's length, in three phases (activation, main part and final game).
✅ An editable starting point

Everything that is created or generated is editable: change phases, timings and exercises however you like. Each plan can be printed or exported as PDF to take to the pitch.

ℹ️ It depends on library access

The exercises, templates and season plans you see depend on your club's access to the library.

Exercise library

Club overview → Exercise library

Spooru includes a library of more than 700 football and basketball exercises, with sessions and season plans. To look after this content, access depends on the club's real use, and the card on the overview tells you where you stand.

When a team is unlocked

  • It has at least 3 active players.
  • It has a coach and a delegate with a verified email, who are different people.
  • It has a training calendar: at least 8, with a start and end time.

What gives access

  • Each category with an unlocked team gives access to a selection of exercises and sessions (a second team in the same category doesn't add).
  • Full access — all exercises, sessions and season plans — comes with 3 unlocked categories and 2 weeks of real use, that is, weeks with a past training that has attendance recorded.
spooru.com/en/clubs/your-club

Exercise library: partial access

Unlocked categories: 2 of 3
Weeks of real use: 1 of 2 (weeks with a past training and attendance recorded)

✅ How to get there faster

Complete each team (players, coach, delegate and calendar) and record attendance at trainings. The Fix button on each team takes you to what it is missing.

Without signing up, you can see a sample of the library on the public “Sample exercises” and “Methodology guides” pages linked in the spooru.com footer.

Creator plan: your own exercises and illustrations

Club overview → Manage → Plan, and Manage → My exercises

Managing your club on Spooru is free. If you also want to build your own library of exercises, generate AI illustrations and have your PDFs carry your club's crest and name, you can subscribe to the Creator plan. It is optional and is taken out by the club administrator.

What each plan includes

  • Free — Spooru's library according to your club's access, its sessions and plans, the automatic generator, PDFs with the Spooru brand and 5 trial illustrations (one time only).
  • Creator (€15 a month or €150 a year) — everything above, plus your own exercises, sessions and plans, 100 AI illustrations a month, PDFs with your club's crest and name and full access to the library.
  • Creator+ (€35 a month or €350 a year), for large clubs — the same as Creator with 250 illustrations a month.
  • Illustration pack — 100 loose illustrations for €12, for when the month's allowance runs out. They do not expire with the month.

Prices include VAT. The subscription is paid by card through Stripe and renews automatically.

Subscribing and managing the plan

  • The administrator goes to Manage → Plan, chooses the plan and monthly or yearly billing, and pays by card.
  • From the same screen they can switch plan (the difference is prorated) and buy illustration packs.
  • The Open billing portal button lets them change the card, download invoices and cancel. After cancelling, the plan stays active until the end of the period already paid.

My exercises

  • In Manage → My exercises, club administrators, coordinators and coaches create exercises with the same full sheet as Spooru's (objective, development, variants, tips…). They are translated automatically into the other languages.
  • Each exercise can have an illustration: you upload it or generate it with AI, and each generated one counts against the month's allowance.
  • Your own exercises show up when you prepare a session, marked “club's own”, and the automatic generator uses them too. Only your club can see them.

AI illustrations

  • The allowance renews every month (also on the yearly plan). Unused illustrations do not carry over.
  • When it runs out, the loose illustrations from packs are used first. If generation fails, the illustration is not counted.
  • The plan page shows how many you have used this month and how many loose ones you have left.
✅ Your crest on PDFs

Upload your club's crest in Manage → Club. With the plan active, the PDFs of exercises, sessions, plans and line-ups carry your crest and name in the header; Spooru moves to the footer.

ℹ️ If the plan ends

Your own exercises are not deleted: they are hidden and cannot be used until you subscribe again. Sessions already saved keep their text and image, and PDFs go back to the Spooru brand.

Line-ups

Inside each team → Line-ups

Place players on the pitch or court to prepare a match or explain an idea in training.

  1. Press + New line-up and give it a title (for example, "Starters vs rival" or "4-3-3 base").
  2. Choose a formation — there are several for 11-a-side, 7-a-side and 5-a-side football, and a layout for basketball — or leave it free and place each player wherever you want.
  3. Add players from the available squad, or all at once, and split starters and bench.
  4. With Draw you can trace arrows and lines over the pitch to explain a movement; they can be undone or cleared.
  5. Save the line-up; it can be printed or exported as PDF.
✅ On a match page

From the match itself you can use a saved line-up — Spooru highlights the ones that match the call-up — without touching the original, and so prepare the one for the day.

Line-ups are managed by the administrator and the team's coach. Families do not see them.

Results, statistics and standings

Inside each match, in Statistics and in Standings

  • Result — after playing, the administrator records it from the event itself.
  • Match statistics — once played, staff record the goals (with the assist) and cards in football, or the baskets (free throws, 2-pointers and 3-pointers) and fouls (personal and technical) in basketball.
  • Team statistics — a per-player summary of the season: call-ups, training attendance, matches played, goals and assists (in basketball, points and fouls). Families see their own child's.
  • Standings — the table of each competition the team takes part in, league or tournament. Spooru doesn't run the competition, so the club or coach keeps the standings up to date by hand, with the table published by the federation or organiser.

Create a tournament

Manage → Tournaments → New tournament

A tournament is any competition of the team: a league for the whole season, a cup or a friendly tournament. The administrator creates it from Manage → Tournaments (a coach can create a one-day tournament from the calendar).

  1. Team — which of your teams it is for.
  2. Name, for example "U12 League 2026/2027" or "Spieltag Kreis Sinsheim 26.09.26".
  3. Start and end dates — in a one-day tournament, the same date in both.
  4. Rival clubs taking part — ticked from your directory of rival clubs.

One-day tournament from the calendar

Calendar → pick a day → + One-day tournament

For a single-day tournament with several rivals at different times, a team's coach or staff (and the administrator) create it in two steps, without leaving the calendar.

  1. In the club or team calendar, pick the day and press + One-day tournament (it is also next to “+ Add event” on the team page).
  2. The team and the day are already filled in. Enter the tournament name, tick the rival clubs that play (and how many teams each brings) and press Create tournament.
  3. On the tournament page, enter the time of each match (the date is already filled in), the call-up time if there is one and whether it is at home; then Save schedule.

✅ A single notice per player

Each family receives one single notice with all the day's matches and their times, and answers only once (“I'll be there” or “Can't make it”): that answer covers all of that day's matches. If you later change a time or add matches, they get a single notice again with the changes.

ℹ️ What a coach can and cannot do

A coach creates the one-day tournament for their teams, ticks the rivals already saved, and creates, changes and deletes the tournament's matches. Creating rival clubs, multi-date tournaments, entering the result and deleting a tournament are the administrator's.

When your team plays split into several

If your team goes to the tournament split up (for example, U12 1 and U12 2), say in the form how many own teams there are and which one each player plays in (there is a button to split them in order). It works just like rival clubs that bring several teams:

  • Each rival club numbers its teams (1, 2…) in the order you enter them. Our team 1 plays all the rivals' teams 1, and team 2 plays all the 2s.
  • On the tournament page there is a block for each own team, each with its own matches and its own schedule.
  • Each match calls up only the players of that team. Families only receive the notices and see the matches of their child's team, under its name (“U12 1”); a family with children in different teams gets the notice for each.
  • You can change each team's players at any time (the call-up of pending matches adjusts). The number of own teams can only be changed until the matches are created.

Several teams from the same rival club

Right below each ticked club

In one-day tournaments it is common for the same club to enter more than one team (for example, "TSV Example 1" and "TSV Example 2"). When you tick a rival club, this appears:

  1. Teams — how many that club brings (1 by default).
  2. A name field for each team — optional: if you leave it blank, Spooru numbers them 1, 2, 3… in the order they appear, just like the real entry sheets of federations.

Tournament schedule

Inside the tournament page

Below the form there is one match row for each participating rival team — there is no automatic home-and-away, because a single-day tournament doesn't have one. For each row you can fill in date, time, call-up time and tick "home" if it is played at your facility; otherwise the rival's address is shown as you have it saved. In a one-day tournament, the date is already filled in with the tournament's date.

Leave blank whatever you don't know yet — the match isn't created until you fill in date and time, and you can always come back to this screen to complete it later. Each time you save, families receive a notice with the new matches or the time changes, grouped by day.

Billing setup

Manage → Billing → Settings

Before charging families anything, fill in the club's details as creditor and decide how much you charge:

  • Creditor name, collection IBAN (the club's), BIC (optional) and SEPA creditor ID — your bank provides it when it registers you as a batch issuer.
  • Registration fee — the amount charged the first time a player is enrolled.
  • Monthly rate per sibling — one price per tier (1st child, 2nd child…); the last tier you define also applies to any sibling beyond that position, so you don't need to add a tier for every child that might come up.

Monthly rate per sibling

1st child€25.00 / month
2nd child€20.00 / month
3rd child and beyond€15.00 / month
ℹ️ The family doesn't see any of this directly

These details configure how receipts and batches are generated — the family only sees the final amount they owe.

Product catalogue

Manage → Billing → Products → New product

Besides the monthly fee and the registration fee, you can sell anything else through the "club shop" that families see: kits, tracksuits, extra activities, trips…

  • Name, description, price and, if you like, an image (JPG, PNG or WEBP, max. 5 MB).
  • Sizes or variants — separate them with commas (XS, S, M, L, XL); leaving it blank means the product has no variants.
  • Stock, overall or per size — leave it blank not to track it (always visible); it is deducted automatically with every order, and a sold-out size is marked as such automatically.
  • Visible to families — hide a product without deleting it when the campaign ends.
⚠️ A product with existing orders cannot be deleted

To avoid losing the history of who ordered and paid for it, Spooru doesn't let you delete a product that has orders — hide it instead.

SEPA direct debits and batches

Manage → Billing → Direct debits / Batches

The alternative to card payment: collecting directly from each family's bank account through direct-debit receipts.

1. Direct debits

For each paying family, their IBAN and mandate reference are saved — the mandate itself is signed on paper between the club and the family; here only its reference and signing date are noted so the batch can be generated. Spooru never handles the original mandate.

2. Generate a batch

Choose the period (e.g. "October 2026") and the collection date. Spooru works out which families must pay that fee based on how many active siblings they have enrolled and generates one receipt for each, with its corresponding amount.

3. Bank reconciliation

When the bank sends you back the list of receipts that failed, upload it here — as CSV/Excel or in the bank's own XML format (pain.002 / camt.054). Spooru marks as returned the ones in the file (with their reason) and automatically as collected all the other pending ones in that batch.

✅ Before generating a batch

At a minimum you need: the club's IBAN and SEPA creditor ID in Settings, at least one monthly rate defined, and an active season with enrolled players.

Card payments

Manage → Billing → Settings → How you collect by card

Card payment is the alternative to the bank receipt: the family pays on the spot (registration, the month's fee or a product) without waiting for the next batch. There are two ways to receive that money:

  • Spooru's central account — nothing to configure; the club receives a weekly payout, with the fee already deducted.
  • Your own Stripe account (Stripe Connect) — you connect your account and Stripe pays you directly, automatically and without waiting for Spooru to run the payout.
spooru.com/en/clubs/your-club/billing/settings

How you collect by card

Connected account status Verified

Account connected and verified — Stripe pays you directly.

Go back to collecting with Spooru's central account
  1. Press Connect with Stripe — it takes you to Stripe's own verification form (identity, the club's bank details).
  2. While Stripe reviews the verification, the status shows "Account connected — review pending".
  3. Once verified, every new card payment goes straight to your account — you can go back to the central-account mode whenever you like.

Card payments already made

Manage → Billing → Card payments gathers, with nothing to manage by hand, everything paid this way: registrations, fees and products.

spooru.com/en/clubs/your-club/billing/card-payments

01/10/2026Official shirt — size M€22.00Paid
28/09/2026September fee€25.00Processing

Payouts

Manage → Billing → Payouts

Only applies in central-account mode: Spooru transfers to the club, weekly, the outstanding amount of all card payments already processed (unless a justified cause delays the payment). Each payout breaks down:

ItemAmount
Gross collected€486.00
Stripe fee−€9.72
Spooru fee−€4.86
Net transferred€471.42

With Stripe Connect enabled, this section no longer applies — Stripe pays directly without going through a Spooru payout.

What a family pays

Their own dashboard → Billing

From their dashboard, a family sees exactly what concerns them, never the data of other families in the club:

  • Your mandate — if the club collects by direct debit, here they see whether it is already registered or still missing.
  • Club shop — order products from the catalogue (choosing size/variant if applicable) and check My orders.
  • My receipts — the history of direct-debit receipts, with their status.
  • Pay by card — alternative to the receipt: pay the registration or the month's fee on the spot, and see the history in My card payments.

What a family sees

Their own dashboard, separate from the club management one

Once linked to their child, a family enters a dashboard built to view and respond, not to manage the club:

  • Next event — with the time, the place (and a map) and whether the player is called up.
  • Team calendar — matches, trainings and tournaments, and the standings of their competition.
  • Statistics for the player and whether their medical check is valid.
  • Messaging — staff notices, team chat and private messages with the coach.
  • Billing, if the club charges online: pending and paid fees, receipts and the club shop.

If a family has several children, they all appear in the same dashboard even if they are in different teams. A player with their own access (from age 16) sees their calendar, their call-ups and their team's standings.

Confirm attendance and receive notices

What a family does, step by step

  1. Install Spooru on your phone's home screen: from the “Install the app” link or with your browser's features. No app store is needed.
  2. Turn on notifications with the bell in the header. On iPhone, you need iOS 16.4 or later and Spooru installed on the home screen.
  3. When a call-up or a reminder arrives, press I'll be there or Can't make it — on the notification itself, without opening the app, or inside the app.
  4. If the notice doesn't reach your phone, Spooru sends it by email.
✅ One-day tournaments: a single answer

If your child plays several matches in the same tournament on the same day, you get one single notice with all of them and answer only once: it covers all of that day's matches.

ℹ️ Changes reach you too

If staff change the time or place, or cancel a match or training, you receive a notice automatically.

Advertising and “ad-free”

How the free part for families is funded

The part of the dashboard that families use shows a full-screen ad for a few seconds: when the app opens, when returning to it after being in another phone app, and every 5 minutes of continuous use. It is what keeps the service free for the club.

  1. A family that doesn't want to see it goes to Remove ads from their dashboard.
  2. They choose a plan: monthly or per season, and pay by card.
  3. Ad-free access lasts exactly that period — it doesn't renew itself.
✅ Cancelling

Since it doesn't renew automatically, there is no cancellation procedure: just don't pay again when the period ends — ads return as normal, with no further steps.

ℹ️ Paying before it expires

If the family pays again before the current period ends, the new period is added on top of what remains — not a single day already paid for is lost.

ℹ️ Minors and cookies

Players under 18 with their own account see non-personalised ads. Anyone with the ad-free subscription doesn't load Google's advertising scripts. The “Cookie preferences” link in the footer lets you review consent at any time.

Frequently asked questions

Is Spooru free for the club?

Yes — club management (seasons, teams, calendar, call-ups, messaging, tournaments, training plans) is free. Spooru's only income comes from advertising to families and from the optional subscription to remove it, plus a service fee (1% at present) on card payments.

Can I manage several clubs with the same account?

Yes. The "My clubs" drop-down in the top bar switches between all the clubs you are linked to, with the role you have in each.

I made a mistake creating a season, team or tournament, can I delete it?

Yes, from its own edit page. Bear in mind that deleting a team or a season takes with it whatever hangs from it (calendar, call-ups, standings) — check before confirming.

How do I change the language?

With the ES / CA / EN / DE selector in the top corner — it changes the language of the whole platform instantly, for you and not for the rest of the club. This manual is also available in all four languages.

A family isn't receiving notifications, what should I check?

That they have pressed the bell in the header and enabled notifications in the browser or the installed app (on iPhone you need iOS 16.4 or later and Spooru on the home screen), and that they are correctly linked to the player from Players. If the notice doesn't reach the phone, it is sent by email.

Can I install Spooru as an app on my phone?

Yes — from the "Install the app" link in the menu, using the browser's own install features. You don't need to download anything from an app store.

Why can't a coach enter a match result or create a multi-date tournament?

Because those tasks are reserved for the club administrator. The coach manages the day to day of their teams: one-off events, one-day tournaments, call-ups, attendance, statistics, plans, line-ups and messages. The full table is in Who can do what.

Why don't I see all the exercises in the library?

Full access unlocks according to the club's real use: complete teams in 3 categories and 2 weeks with attendance recorded. The library card on the club overview tells you what is missing. See Exercise library.

My child plays several matches on the same day in a tournament, do I have to answer for each?

No. In a one-day tournament you get a single notice with all the matches, and one answer covers all of that day's.

I uploaded a player's photo and it is rejected, why?

Spooru automatically checks that photos are appropriate. Upload a photo of the player (JPG, PNG or WEBP, up to 5 MB) in which they are clearly visible, and try again.

How long does Spooru keep data?

A season's data is deleted automatically two years after it ends, with advance notice; payment data according to legal deadlines (the IBAN and mandate 14 months after the last collection and the supporting documents after 8 years). See Data protection.

Can I print or save as PDF from an iPhone?

Yes. Reports, call-ups, training sessions and line-ups can be printed or saved as PDF from the phone or tablet; the PDF is generated on the device itself.
